CALL FOR SPEAKER PROPOSALS

CONFERENCE BACKGROUND

The Wisconsin Volunteer Coordinators Association (WVCA) is a membership association comprised of local affiliate volunteer coordinator associations in Wisconsin, volunteer centers and individual volunteer coordinators. WVCA facilitates an annual conference at rotating sites to accommodate the membership of a statewide organization. The conference is focused on the development of non-profit volunteer coordinators and corporate employee managers. Anticipated attendance is 125+.

WORKSHOP FORMAT

Conference workshops should have a strong volunteer management focus. Workshops are 60 minutes in length and should include interactive activities for a minimum of 15 minutes (excluding Q & A). Workshop attendance is for groups of up to 40 attendees.

Topics may showcase models/tools and garner discussion in areas such as:

  • Mobilizing the Next Generation of Volunteers
  • Exploring the Future of Volunteerism
  • Technology Assistance in Volunteer Recruitment
  • Sharing Your Story - Measuring Impact
  • Marketing Volunteer Opportunities
  • Legislative Information - RSVP Funding

If you have an idea that is not listed but you feel would be beneficial to your peers, please do not hesitate to send in a Proposal. All proposals will be reviewed.


BENEFITS

Member presenters of workshops will be provided a $100 stipend for each presentation provided in the form of a check made payable to either the individual or their place of employment.

WORKSHOP SELECTION PROCESS

All proposals are reviewed by the Conference Committee. WVCA reserves the right to accept or reject any proposal. Proposals must be received no later than Friday, October 31, 2025.

THE "FINE PRINT"

Proposal Evaluations

Presentation proposals will be evaluated solely on the information provided in the proposal. Each proposal will be reviewed based on the following criteria.

  • Align with conference focus:  The professional development of non-profit volunteer coordinators and corporate employee volunteer managers.
  • Description is complete, clear, and considers an audience with diverse learning styles, organizational missions, and varying available resources.
  • Well-defined, realistic learning outcomes that can be met in the allotted time of 60 minutes.
  • Current and relevant content for conference attendees, including best practices and replicable strategies.
  • Workshop format designed to incorporate audience engagement.


Presenter Terms and Conditions

By submitting this proposal, you indicate agreement to abide by the following terms and conditions.

  • The primary presenter listed in the proposal will receive all conference communications and is responsible for sharing pertinent information with additional presenters.
  • Proposal content may be used for marketing the conference and will be included as submitted for the registration brochure.  The Conference Committee reserves the right to make edits to content for space needs.
  • Presenters will send session material (handouts, activities and other takeaways) to wvcaconference@gmail.com for posting to the WVCA website no later than April 17, 2026.
  • The session will not be used as a venue to sell a product or service.  However, materials that support the continued learning of a workshop may be offered for purchase following a workshop.  Room must be cleared 10 minutes before the next session starts.  A table may be requested for this purpose.  If available, any associated fees for the table are the responsibility of the presenter.
  • The workshop you present at the conference will be the same workshop described in your proposal and approved by the conference planning committee.
  • All presenters will receive a $100 stipend for each presentation payable to the individual or to their place of employment. Presenters will have the option of not taking the stipend and donating it back to WVCA.
  • Only the primary presenter receives remuneration which may be shared with co-presenters.  If a presenter will be attending other conference sessions, socials, etc., the presenter must register for the conference and will be responsible for all expenses including registration, travel, hotel, etc.
  • If a presenter must cancel their presentation, a notice of a minimum of 5 days’ notice must be provided to remain in good standing with the WVCA Conference Committee.  Remaining in good standing will allow for presenter to be considered a future presenter.  If a cancellation occurs for any reason on behalf of the presenter, the agreed upon stipend will be waived. 
  •  The Conference Committee reserves the right to cancel a session for very low pre-registration numbers and will provide notice of the cancellation no later than 5 days prior to the Conference start.  In the event the Conference Committee must cancel a workshop or the entire conference, presenter stipends will be waived.
